When someone gets hired, HR has one job — move their status. Everything after that runs itself. This is a zero-touch onboarding pipeline built for companies that want a proper process without paying for an HR platform to run it.
Built for a client. Details have been redacted to protect confidentiality. The demo uses sample data.
The Problem
Onboarding is one of the most manual processes in any company.
When someone gets hired, HR typically sends the documents, chases the signatures, downloads the files, organizes them into folders, updates the tracker, and sends the completion email. All manually. All prone to being dropped, delayed, or forgotten — especially when multiple people are onboarding at the same time.
This build eliminates every one of those steps. One status change kicks off the entire pipeline, and HR doesn't have to touch anything after that.
The Flow
One status change. The rest runs itself.
Here's exactly what happens from the moment someone is marked as hired to the moment onboarding is complete.
The Demo
See it running end to end.
Two scenarios — a new hire who completes everything on time, and what happens when they don't. Every step shown is live, not mocked.
The Stack
Tools most businesses already have.
No HR platform. No additional subscriptions. This is built entirely on tools that are either already in use or straightforward to set up — and connected through n8n as the automation layer.
ClickUp is where the pipeline lives — applicant list, onboarding list, task statuses, custom fields, and checklists. Jotform handles the documents with pre-filled links unique to each hire. Google Drive stores everything, organized automatically. Gmail handles every email in the flow. And n8n is what connects all of it together.
Expandable by Design
The process defines the pipeline — not the other way around.
This pipeline isn't fixed to the flow shown here. Every step is modifiable and new ones can be added at any point without rebuilding from scratch. The process changes — the pipeline changes with it.
Because this is built on flexible automation infrastructure, the business fully owns it. No vendor lock-in. No waiting for a platform to add a feature. If the process changes, the pipeline changes too.
